Used vs Visible: Why a Referenced WordPress Image May Not Be Live

An image can be referenced in WordPress without being visible to visitors. Learn the difference between used and live, and why an honest Unknown beats a false answer.

“Where is this image used?” is a good question. A better one is “Does anyone actually see it?” A reference to an image in WordPress does not guarantee that a visitor ever sees it. This article explains the difference, and why a tool that says “I don’t know” can be more useful than one that always answers.

A reference is not a visitor

An image can be referenced in your site in places that never reach a visitor’s screen. A setting that the active template does not render, a layout element that is switched off, content that is not published: the reference exists, but nothing appears on the page.

If you clean up your library based on references alone, you may keep files that nobody sees. If you clean up based on guesses, you may remove files that a page still needs. You need both facts: is it referenced, and is it visible.

Three states: Live, Not live and Unknown

CICO Media Pro separates the reference from its frontend state:

  • Live. Visible, or realistically reachable on the frontend. Content that a visitor reaches by interacting, such as galleries, sliders, carousels, tabs, accordions and lightboxes, counts as reachable.
  • Not live. Referenced, but verifiably not currently rendered or active.
  • Unknown. Referenced, but frontend visibility cannot be verified with enough confidence.
Each place where an image is used shows its source and its frontend state.

The state is given for each place where the image is used, so one image can be Live on one page and Not live on another.

Why Unknown is a feature

Some references depend on logic that no plugin can follow with certainty: a template that decides at render time, a custom field that the theme may or may not print. In those cases CICO says Unknown.

That is a design choice. A false “Live” keeps files you could remove. A false “Not live” puts a working page at risk. Better an honest Unknown than a false answer.

How to use the three states in a clean-up

  1. Start from usage. Filter your library by usage and open the images with no usage found. Check them as described in Unattached vs Unused Media in WordPress.
  2. For used images, read the state. Live: keep it. Not live: check whether the reference is something you still need. Unknown: check by hand before you decide.
  3. Decide yourself. CICO does not delete or change anything. It gives you the context to decide.

In the docs: the Live, Not live and Unknown states are explained in Usage Intelligence.

Summary

  • Used means a real reference was found. Live means a visitor can realistically see it.
  • The state is given for each place an image is used.
  • Unknown is an accurate result when the evidence is not strong enough, not an error.
  • No tool is certain in every case. Combine the information with your own checks. The full method is in How to Find Where an Image Is Used in WordPress.

Frequently asked questions

What does Used mean in CICO Media?

Used means CICO found a real reference to the media item. It does not automatically mean the media is visible to a visitor.

What do Live, Not live and Unknown mean?

Live means a normal visitor can realistically see or reach the media. Not live means the reference exists but is verifiably inactive or not rendered. Unknown means the reference exists but CICO cannot verify frontend visibility confidently.

Why does CICO sometimes say Unknown?

Because it prefers an honest answer to a guess. When the evidence is not strong enough, Unknown is the accurate result.
